How to optimize a Google Business Profile.
Use your real business name, pick the most specific primary category, and complete every field: services, hours, description and photos. Then earn a steady flow of genuine reviews, reply to them, and keep your name, address and phone identical everywhere online.
Google ranks local results on three things: relevance, distance and prominence (Google Business Profile Help). Your profile is how you improve the first and the third. Distance is fixed: it's where your business is.
The steps below are the ones we run on every client profile. None of them needs paid tools.
What moves rankings, and what only wins clicks.
Not every field matters equally. Here is the honest split.
| Profile element | Effect | Why |
|---|---|---|
| Primary category | Rankings, strongly | It decides which searches you can appear for. Local SEO practitioners rank it the single biggest factor in their annual surveys. |
| Reviews | Rankings and clicks | Google says more reviews and positive ratings can help your local ranking. They also decide who gets the click. |
| Hours | Rankings and clicks | Practitioners report that being open when someone searches matters. Wrong hours also send customers to a locked door. |
| Services | Relevance | Choosing from Google's predefined list helps it match you to more searches. |
| Name, address, phone | Trust, and avoiding suspension | They must be real and match your site and directories. Get them wrong and the profile is at risk. |
| Photos and posts | Mostly clicks | Small practitioner tests found little ranking effect, but they help people choose you. |
| Description | Clicks | Write it for customers. Keyword-stuffing it adds nothing. |
Google Business Profile optimization in 12 steps.
Claim and verify the profile
Search your business name on Google or go to business.google.com. If a profile already exists, request access instead of creating a second one. Duplicates split your reviews and can get both suspended.
Use your real-world name
Exactly as it appears on your signage, website and invoices. No services, cities or slogans added. Google's guidelines say extra words in the name can lead to suspension.
Pick the most specific primary category
Choose the category that completes "this business is a…", as specific as possible: "Family law attorney", not "Lawyer". Add only a few secondary categories, and only ones that describe what you are.
Set your address, or a service area
Use a real location with permanent signage. No P.O. boxes or virtual offices. If customers don't visit you, hide the address and set a service area of roughly two hours' drive or less.
Add a local phone number and a tracked website link
Use a number that reaches that location. Add tracking tags to the website link (for example ?utm_source=google&utm_medium=organic&utm_campaign=gbp), so profile visits show separately in Google Analytics.
Get the hours exactly right
Set regular hours, then add special hours before every holiday. Appointment-only businesses can leave hours off.
Add your services and products
Pick from Google's predefined services first, then add custom ones for anything missing. Write a one-line description for each.
Write the description for customers
What you do, who for, and where, in plain words. No links, prices that will go stale, or lists of keywords.
Add real photos, and keep adding them
Your storefront, so people recognize it, plus the inside, your team and your work. Real photos, not stock. A few new ones every month keeps the profile current.
Build a steady flow of genuine reviews
Ask every customer, not just the happy ones. Never offer anything in return, and reply to every review, good or bad. Steady beats a burst: a sudden spike can trigger Google's review filters.
Make your details identical everywhere
Same name, address and phone on your website, in your site's structured data, on Apple Business Connect, Bing Places, Yelp and the directories that rank for your searches.
Check the profile every week
Anyone can suggest edits to your profile, and Google sometimes applies them. Review suggested changes, answer new reviews, and keep hours current.
Mistakes that get a Google Business Profile suspended.
All of these break Google's guidelines for representing your business or its review policy:
- Keywords in the business name. The most common cause. "Smith Law: Toronto Divorce Lawyer" when the sign says "Smith Law".
- A P.O. box, virtual office or address with no signage. The address has to be somewhere you actually serve customers or work from.
- Several profiles for one location. One real location gets one profile.
- Paying for reviews, or filtering who you ask. No discounts or gifts for reviews, no asking only happy customers, and no reviews from staff or family.
- A website link that redirects somewhere else. The link should go to your own page for that location.
If your profile is suspended, fix the cause first, then request reinstatement through Google Business Profile Help. Include proof such as a photo of your signage or a business licence. Don't create a new profile while you wait.
How to tell if your profile is working.
- The Performance report in your profile shows calls, direction requests, website clicks and the searches that found you. Compare month to month, not week to week.
- Google Analytics shows what profile visitors do on your site, thanks to the tagged website link from step 5.
- Rankings across your area. Your map position changes from street to street, so one search from your office tells you little. Check from several points across your service area.
Your profile also feeds AI answers. ChatGPT and Google's AI Overviews draw on sources like your website and Business Profile, so the same accurate details help you get named there. More on that in our LLM SEO guide.
Law, dental and medical practices: your regulator's rules limit review requests and testimonials. See our law firm, dental and healthcare pages before running step 10.
See where you stand.

Google Business Profile, answered.
How long does it take for profile changes to help?
Edits usually show on the profile within days, after Google reviews them. Ranking changes take longer: often a few weeks for category and service fixes, and months for review growth. Measure against the month before you started.
Do Google posts help my ranking?
Small practitioner tests found little ranking effect. Posts are still useful: they show offers and news to people already looking at your profile, which can win the call.
Can I rank in the map for a city where I'm not located?
Rarely. Google weighs distance from the searcher, and your profile has to use your real location. You can still rank in regular search results for other cities with genuinely useful pages.
Should I hide my address?
Only if customers don't come to you. A plumber working from home should hide it and set a service area. A clinic or store should show it.
How many categories should I choose?
One primary category, as specific as possible, plus only the few secondary categories that describe what your business is. Google asks for as few as possible.
Can you optimize my profile for me?
